PayPath Lockdown
BW: June 13-16
To avoid delays in payroll processing, the UCPath Center will limit system functionality on specific pages from Tuesday, June 13, 5PM, through Friday, June 16, 6AM.
Refer to the UCPath Production Processing Schedule for start and stop times of the Pay Confirm.

UCPath Blackout Jun 16-19
The UCPath system will be unavailable to all UC employees from Friday, June 16, 3pm to Monday, June 19, 9pm while UCPath implements updates to support UC’s gender recognition and lived name policy.

Job Record End Date Monitoring: Quarterly Reminder
As of June 5, UCLA has more than 14,300 UCPath jobs with an end date of June 30, 2023. In order to avoid unintended job terminations, we recommend doing the following by June 15:
- Run the “Jobs with Approaching End Dates” CDW report (CDW navigation: Team Content > UCPath CDW > Workforce Administration > Jobs with Approaching End Dates Report).
- Review the pulled records to ensure the June 30, 2023, Expected Job Record End Dates are correct.
- If errors are identified, initiate the appropriate transaction(s) to update the records (see “Job Record End Date Monitoring” knowledge base article for instruction
Summer Salary Resources
- Summer Sessions Training Guide: On June 5, your payroll partner updated the training guide that outlines the procedures for entering Summer Sessions UCPath data.
- Summer Sessions Planning Website: The Summer Sessions Office has made recent updates to their planning website for 2023.
- Summer Employment Memo: On May 10, the Academic Personnel Office posted guidance on Summary of Policy and Procedure Governing Summer Salary.

DHS Remote Document Inspection Policy Ends July 31, 2023
Effective July 31, the Department of Homeland Security (DHS) will end the COVID remote document review policy. Form I-9s completed remotely between March 20, 2020, and July 31, 2023, must satisfy the in-person document inspection requirement by August 30, 2023.

July Retirements and Cost of Living Adjustment (COLA)
To ensure employees who are retiring on July 1, 2023, receive a Cost of Living Adjustment (COLA), they must be terminated and have at least a one-day break in service.
- Use the UC-Retirement Template with an effective date of 6/30/23 to separate these employees.
- Their last day on pay status should be 6/29/23, resulting in a break in service on 6/30/23.

Incorrect Payments for Some Biweekly Employees
The UCPath Center (UCPC) identified a system issue that caused some employees to be underpaid on their 5/24/2023 paycheck. UCPC is working diligently to resolve the issue. Unless explicitly requested by UCPC, do not submit cases related to this issue.
Incorrect Leave Hours for Some Salaried Employees
The UCPath Center identified an issue that caused leave hours to be incorrectly captured for some salaried employees. The issue affects employees with leave usage equal to or greater than hours in the period during which the leave is reported.
