UCPath Notice: Incorrect Leave Hours for Some Salaried Employees

A UCLA Blue swatch

On May 17, we received the following alert from the UCPath Center.

UCPath identified an issue that resulted in leave hours not being captured correctly for some salaried employees. The issue affects employees with leave usage equal to or greater than hours in the period during which the leave is reported.

Example: An employee took 176 vacation hours in the month of January 2023, which had 176 working hours. Because UC processes leave usage in arrears, the employee would report 176 hours of leave in February 2023, which has just 160 working hours. Consequently, the employee reports more leave hours than there are worked hours in the period.

Year Month dates of holidays working days in month working hours in month 1/2 of working hours
2023 January 2, 16 22 176 88
2023 February 20 20 160 80

As a result, some employees may show incorrect accruals, retirement service credit months on the Review Absence Balance page and incorrect hours on the Leave, Career and Benefits Eligibility page.

The issue does not affect employee pay.

Potential Impacts:

  • Incorrect accrual balances
  • Hours toward career status eligibility
  • Hours toward benefits eligibility
  • Hours toward FMLA eligibility
  • Retirement service credit
Jira defect UCP-116384 has been created to track this issue.

Next Steps:

UCPath is identifying affected employees and determining next steps. There is no need to submit inquiries related to this issue.

We apologize for the inconvenience and will provide additional updates when available.

Thank You,
UCPath
