UCPath Notice: Benefits Billing Schedule Change

A light blue swatch.

On September 22, we received the following notice from the UCPath Center.

Beginning January 1, 2024, UCPath will change the schedule for invoicing employees for benefits when they are on unpaid leave. This change does not require any employee action.

What is changing?

Currently, UCPath sends benefits billing invoices to these employees one month in advance. For example, an employee would receive a statement in December 2023 for their January 2024 coverage.

Starting January 1, 2024, UCPath will send benefits billing invoices for the current month. For example, an employee will receive a January 1 invoice for their January benefits coverage.

Will anyone on leave receive an invoice in December?

Most eligible employees on leave will not receive an invoice in December since UCPath billed for December coverage in November. Following the November invoice, most eligible employees will receive a January 1, 2024, invoice.

Who will receive an invoice in December?

Employees with benefits premium adjustments for certain changes may receive an invoice on December 1, 2023, for previous coverage months. Some of the applicable changes include:

  • Changes in benefits enrollment, such as marriage or childbirth that, lead to increased premiums
  • Leave entered retroactively that affects the billing rate, requiring billing for December and/or previous coverage months
  • Changes that affect previously billed premiums, such as the end of an employee's short-term disability claim
In addition, an employee with an active payment plan will receive their December 1 payment plan invoice.

Why is the invoicing schedule changing?

This change is in response to changes in the university's Administrative Supplement II-C Direct Payment of Premiums and Group Insurance Part III policies.

What's next?

UCPath will notify eligible employees on leave about this change as follows:

  • A memo message will appear on the October 1, 2023, benefits billing invoice under the "Important Account Information" section
  • A letter with more details will accompany the November 1, 2023, benefits billing invoice

Please share this update with leave administrators, healthcare facilitators and benefits managers at your location, as appropriate.

Thank you,
UCPath
