PayPath Lockdown

BW: May 17-20 | MO: May 24-27

To avoid delays in payroll processing, UCPath Center will limit system functionality on specific pages during payroll processing from Tuesday, May 17, 5PM, through Friday, May 27, 6AM.

Have an employee transferring to a different campus?  You can submit the transaction today!

The UCPath Center will accept separation or hire transactions with future effective dates. To help the employee avoid a break in service, this process is dependent upon departments coordinating submission of their respective Smart HR templates:

  • Concurrent Hire (submitted by hiring location)
  • Voluntary Termination (submitted by terminating location)

WFA Service Target: 5 days

Currently, the UCPath WFA team is approving transactions within the 5-day service target despite the quarterly increase in transaction volume. If the average transaction processing time exceeds the service target, we anticipate UCPC will communicate with all locations accordingly.

  • Summer Sessions Training Guide: On April 22, your payroll partner updated the training guide that outlines the procedures for entering Summer Sessions UCPath data.
  • Summer Sessions Planning Website: The Summer Sessions Office has made recent updates to their planning website for 2022.
  • Summer Employment Memo: On May 6, the Academic Personnel Office posted guidance on Summary of Policy and Procedure Governing Summer Salary.

Temporary Rule to Increase Auto Extension Period for Designated Employment Authorization Documents

On May 4, the Department of Homeland Security published a temporary rule (87 FR 614) that increases the employment authorization and/or Employment Authorization Documents (EAD, Form I 766) automatic extension period to up to 540 days.

I-9 Processing Procedures

As a reminder, we offer an I-9 Processing Procedures class to help users understand the procedures for completing the U.S. Citizenship & Immigration Services Employment Eligibility Verification (I-9 Form). This class is valuable to employees with new responsibilities in this area, but it can also be used as a refresher for veterans.

Note: Before we can grant access to the I-9 Tracker system, you must attend class on both days.

On May 2, the UCPath Center contacted 595 UCLA employees regarding repayment schedules for their Aflac Supplemental Health Plan missing deductions.

On April 28, the UCPath Center notified 212 UCLA Campus employees and 9 UCLA Medical Center employees to complete their Out-of-State Income Tax Withholding eForm.

The UCPath Center offers UCPath online demonstrations to show how employees can use the portal for a variety of Employee Self-Service (ESS) tasks every Thursday from 2pm to 3pm (excluding university holidays).
