Announcements

2025 W-2 Forms Now Available

Employees received an alert from the UCPath Center advising 2025 W-2 statements are now available to access online. Employees who did not opt-in for an electronic version may still access their W-2 in UCPath, and a printed W-2 will be mailed out no later than February 2, 2026. 

  • To access your W-2, visit UCPath and click on Income & Taxes > Tax Statements > View Online W-2/W-2c.
  • Please use Chrome or Firefox when downloading your form.

The University of California does not send W-2 statements by email or text. If you receive an email or text with a link or an attachment to view a W-2 statement, it is a phishing scam designed to gain private information. Do not open attachments or click links claiming to provide access to your W-2 statement.

2025 1095-C Forms Available January 30

As of January 30, 2026, employees may view and access their 1095-C forms directly in UCPath.

Instructions for Current Employees:

  • Current employees may access their 1095-C forms online by logging into UCPath and clicking the View Online 1095-C link in the Income & Taxes dashboard.

 Instructions for Former Employees:

  • To access their 1095-C forms, visit UCPath online and click on Former Employees.
  • Once logged in, navigate to Income & Taxes and select the corresponding tile for the desired form.

Former employees can access and download their 1095-C for up to three years after their separation date.

PayPath Lockdown

BW 1: February 3, 5:00 p.m. – February 6, 6:00 a.m.

BW 2: February 17, 5:00 p.m. – February 20, 6:00 a.m.

MO: February 19, 5:00 p.m. – February 24, 6:00 a.m.

To avoid delays in payroll processing, the UCPath Center will limit system functionality on specific pages during the times listed above.

If applicable, refresh your status to claim exemption from withholding

The IRS requires employees to complete a new W-4 form each year if they are claiming exemption from tax withholding. Many employees are unaware of this requirement until their net pay is reduced by additional tax withholding in the new year. Please help your employees avoid this scenario by following the steps below:

What can you do?

  1. Run a CDW report to identify employees who claimed exemption from tax withholding in 2025. In CDW, search for Employees Claiming Tax Exemptions and then run it for your department.
  2. Remind your employees to log in to UCPath Online and make their selection by February 15.

Tracker Administrator office hours are held every Wednesdays from 2:00 p.m. to 3:00 p.m. to provide users support with E-Verify, Form I-9, Tracker and more! 

Registration is required. A Zoom invitation will be sent to the email address provided on the registration form. Please register using your UCLA email address.

Effective January 2026, UCPath will update the process to deduct benefit premiums from paychecks. The first paycheck reflecting the new deduction timing will be January 2, 2026 (monthly employees) and January 14, 2026 (bi-weekly employees).

What is Changing?

  • Biweekly Paid Employees: Premium deductions for all benefit plans will now align with the current month of coverage instead of being taken one month in advance.
  • Monthly Paid Employees (Disability Premiums): Disability plan premiums will be deducted during the current coverage month rather than in arrears. All other benefit premiums will continue to be deducted during the current coverage month.

Monthly Employees Transition Timeline

UCPath will collect disability premiums for December 2025 coverage over two paychecks: October 31, 2025 & December 1, 2025.

Biweekly-paid Employees Transition Timeline

UCPath will deduct December 2025 premiums from November 2025 bi-weekly paychecks as usual. For the December 3, 2025, and December 17, 2025, paychecks, UCPath will not take the following benefit premium deductions:

  • Medical
  • Legal Services
  • Supplemental Health Plans
    • Accident
    • Hospital Indemnity
    • Critical Illness Spouse and Child
  • Employee and Dependent AD&D
  • Supplemental Life Plans
    • Basic Dependent Life
    • Expanded Dependent Life Spouse and Child

Salary Cost Transfers (SCT) for Run ID 250830B1X, processed in September 2025, are missing local benefit assessments. On December 12, we updated UCPath GL initiators and approvers. Learn more in this website article

The UCPath Center recently updated the SCT / Direct Retro Processing Schedule. This schedule outlines when transactions must be approved in order to be picked up and posted to the Labor Ledger. It also identifies when you can expect to see the approved transactions in the Labor Ledger and, subsequently, in the General Ledger.

July 2025 through March 2026 dates are now available on Box.

UCPath Enhancements & Training Article

On February 5, some users experienced intermittent UCPath access issues. Subsequently, UCPath resolved these issues.

If you experience any difficulty accessing the site, please contact UCPath directly.

Two of UC’s healthcare providers, Kaiser and Blue Shield, continue to update enrollments and changes that exceed the open enrollment deadlines. As a result, UCPath and the vendors are addressing some residual HSA-related enrollments through standard reconciliation. January file processing continues on the established schedule.

UCPath continues processing expedited enrollment cases and handling standard enrollments as normal. Please route urgent cases requiring immediate medical access to the UCPath Center.

Postdoctoral Scholars Benefit Program

On December 11, UCPath contacted employees regarding the Postdoctoral Scholars Short-Term Disability Plan. UCPath Benefits Summary Short-Term Disability Plan tile and employees' Open Enrollment benefits confirmation statements displayed incorrect benefit amounts.

  • The benefit appeared as “55% of salary up to $800 per month.”
  • The accurate benefit amount is “70% of the first $1,429 in weekly pre-disability earnings, up to $1,000 per week.”

UCPath is actively working to correct this issue. No further action is required. UCPath will issue a follow-up communication once the system reflects the correct information.

 

Presidents' Day

On Monday, February 16, your UCLA Payroll Partner office will close to observe the University Holiday.

All cases submitted to CRU will be reviewed when we resume normal operations on Tuesday, February 17, 2026.
