UCPath Changes & Enhancements Communications Update

On September 14, the UCPath Center announced a transition to a standardized monthly UCPath enhancement summary. This new format will make release information easier to locate and provide a more consistent view of UCPath system updates.

The monthly summary will consolidate completed changes and enhancements into a single communication and will replace the weekly Changes & Enhancements emails that we previously summarized for UCLA audiences.

Changes that require advance notice or have significant impact will continue to be communicated separately as needed.

August 2026 System Changes and Enhancements

The following changes were implemented as part of the August monthly release and became available on August 31, 2026.

Correct Absence Management auto-enrollment processing to ensure employee leave eligibility is accurately maintained.
Correct leave balance displays for employees with multiple jobs to ensure accurate absence information.
Correct Absence Management auto-enrollment to ensure eligible employees are assigned to the appropriate leave groups.

Improve payroll reporting to accurately identify federal versus non-federal funding.

Resolve workflow issues preventing Extended Absence transactions from completing the approval process.
Improve SSN assignment processing for individuals without an SSN on record.

Resolve transaction errors preventing the approval workflow from initiating successfully.
Correct Concurrent Hire processing to ensure employee names are accurately populated.

Expected Job End Date Best Practice

Using "xx/xx/9999" as an Expected Job End Date can create downstream issues that impact critical processes, including benefits eligibility.

To avoid processing errors and maintain system integrity:

  • Do not enter "xx/xx/9999" as the Expected Job End Date.
  • If an employee's appointment has no defined end date, leave the field blank.

Following this practice helps prevent batch processing errors, improves data quality, and supports accurate benefits eligibility processing.

Extended Absence to Benefits Billing Matrix

The Extended Absence to Benefits Billing Matrix provides a consolidated view of how extended absence transactions flow through UCPath. It maps an absence from the initial entry through resulting Job Data updates and shows how those changes impact Benefits Billing and benefits enrollment during the leave.

Entering Long Last Names in UCPath

When an employee's last name exceeds UCPath's 30-character limit, transactors should enter only the first 30 characters.

This approach supports Social Security Administration name verification requirements, which rely on only the first 13 characters of the employee's last name during the verification process.
