UCPath Training Updates
We’re sharing an update to our April communication regarding UCPath training courses and access requirements.
Updated Training Requirements
Links to the updated training courses have been added to the UCPath Access Requirements page. Any new UCPath transactional users should refer to this page for the most current required courses and training links.
The following course updates have been made:
- PeopleSoft Overview is now PeopleSoft Navigation
- Employee Data Inquiry is now Reviewing Employee Records
- Template Transactions has been consolidated into a single course
- Absence Management Inquiry is now Absence Management Overview
- Employee Accrual Adjustments is now Manage Accruals Initiator
- New Position Management course has been added
No Action Required for Existing Users
Users who are already provisioned in UCPath do not need to take action; however, the updated courses are available and may be taken as a refresher, if helpful. The new Position Management course is also recommended to reinforce position decisions and responsibilities.
Retired Courses (No Longer Required)
The following courses have been retired and are no longer required for formal training completion. The key information from these courses has been transferred into digital resources that can be accessed at any time:

UCPath Help Site Reminder
As a reminder, the UCPath Help Site - the repository for system simulations and training materials created by UCPath Center - is scheduled to be decommissioned in mid-August. Soon users will be redirected to Ask UCPath for support.
PayPath Lockdown

The UCPath Center recently updated the SCT Processing Schedule. This schedule outlines when transactions must be approved in order to be picked up and posted to the Labor Ledger. It also identifies when you can expect to see the approved transactions in the Labor Ledger and, subsequently, in the General Ledger.
July 2026 through September 2026 dates are now available on Box.

UCLA has simplified this search via the Fund Manager Directory on Box, which lists Fund Managers by Type and Number.

UCPath Center (UCPC) has implemented a new automated Return from Leave (RFL) notification process for employees returning from an unpaid leave of absence or Short Work Break (SWB).
Currently, employees automatically receive an email with information about benefit reinstatement timelines and UCRP service credit buyback options as soon as an RFL transaction is entered into UCPath. The notification occurs even if their actual return date is weeks or months away.
Since the system cannot distinguish between paid and unpaid leave, some employees returning from fully paid leave may receive notifications that do not apply to their situation.
What Departments Should Do
- Enter RFL transactions no more than 10–15 days before the employee’s return date, when possible.
- Let employees know they may receive an automated UCPath email.
- Reassure employees returning from fully paid leave that the benefits and buyback information may not apply to them.
UCPC is updating the notification language and exploring long-term system enhancements to reduce confusion. Read the full UCPC guidance and recommended best practices on our website.

Tracker Administrator office hours are held every Wednesdays from 2:00 p.m. to 3:00 p.m. to provide users support with E-Verify, Form I-9, Tracker and more!
Registration is required. A Zoom invitation will be sent to the email address provided on the registration form. Please register using your UCLA email address.
UCPath has released an updated Mass PayPath (E‑081) template, now including a new optional Dot Line field to support additional reporting relationships. To avoid upload errors and processing delays, departments must download and use the latest version from the UCPath Template Library.
Note: UCLA provides internal templates for submitting Mass Funding Entry, Regular Time Entry (I‑181), and Flat Dollar Amount (I‑618) files to the Central Resource Unit (CRU). Refer to the How to Find Mass Template knowledge base article for the latest UCLA versions.

New job aids are now available for Location Users, including guidance on maintaining teleworker records, understanding Employee Relations Code impacts on benefits, and navigating Leave of Absence processes.
Several existing training materials have also been updated with enhanced guidance, additional examples, and expanded benefits eligibility information to support accurate transaction processing.
UCPath Help Site Reminder
As a reminder, the UCPath Help Site will be decommissioned in mid-August, and users will soon be redirected to Ask UCPath for training and support services.

UCPath has released new enhancements to Extended Absence (EA) transactions aimed at improving notification visibility and data accuracy. To help reduce errors and processing delays, updates include expanded push back notifications—now sent to both submitters and approvers—and new Last Day Worked field validations.

On April 27 and May 21, 2026, UCPath issued corrected W‑2 forms for Summer Salary DC Plan contributions for tax years 2023–2025 and notified affected employees. Updated forms are now available in the UCPath portal. Full details available in this CRU website article.
This update reflects a reporting change only and does not impact taxable income or taxes withheld.
The UCPath Center will discontinue voicemail effective May 31, 2026 and introduce enhanced support options to improve response times. Users are encouraged to use the callback feature, AI tools like PathPal, and SMS support for faster assistance. Learn more in the full article on the CRU website.
